BUSINESS SOFTWARE WORKFLOWS · PRACTICAL SOFTWARE GUIDE
A useful enquiry form collects enough information to route a request without turning first contact into a long application. For equipment businesses, reflect the decisions the receiving team actually needs to make.
Start with the next decision
Identify who receives the enquiry and what they need to do first. A tractor request may need the model or intended work, quantity and destination; a parts request may need machine identification and a component reference. Use separate paths when required information differs materially.
Allow a buyer who does not know the model to describe the job. Explain required fields and avoid asking for details the team will not use at this stage.
Make fields understandable on a phone
Use visible labels, short help text and clear error messages. Keep related fields together and provide suitable input controls. Test a narrow screen and keyboard navigation, including correction of an omitted field.
Limit attachments and define the handoff
Request only relevant photographs or documents and explain their purpose. Do not request identity or financial records in a general sales enquiry unless a later, clearly explained process requires them. Explain information handling in the applicable privacy notice.
Define a receipt message, ownership of the enquiry and a process for missing details. Test delivery through an authorised test process before launch, then review whether the form helps the team respond. This is a design guide; it does not claim a particular product already provides these features.
