A useful place to start

  • Publish an authenticated customer portal with [ssf_support_desk]; customers create, view and reply to their own text-only tickets.
  • Use an administrator queue with open, pending, resolved and closed states.
  • Export a ticket’s customer-visible conversation as JSON and explicitly confirm permanent per-ticket deletion.
  • Keep optional minimal update notices off by default; use your existing WordPress mail transport only after separately verifying actual delivery.
SEPARATE PRO ADD-ON

More control for reviewed work

  • Assign SSF Support Agents to individual tickets. Unassigned tickets stay administrator-only and role revocation removes staff access.
  • Keep private staff notes outside customer HTML and conversation JSON, including when Pro is inactive.
  • Add priority, optional UTC target dates, product/edition labels and a manual unverified order-reference label.
  • Maintain up to 50 saved public replies and view scoped status/target-date counts and CSV for the newest 200 accessible managed tickets.
A focused local support workflow, without a hosted helpdesk subscription, inbound-email channel or hidden data transfer.

Install, review and use

Before installation

  • WordPress 6.6+ and PHP 8.1+, with ordinary WordPress customer accounts.
  • A published page containing [ssf_support_desk], excluded from page caches. The portal supplies no-cache/noindex signals on a singular shortcode page.
  • Pro requires this product’s Free plugin and deliberately assigned staff roles/records. Establish real support/privacy and retention policies before collecting customer tickets.

Your first workflow

  1. Back up your site and install Free. Publish a page with [ssf_support_desk] and exclude that portal from page caching.
  2. Use synthetic customer accounts to test own-ticket visibility, replies and the administrator queue. Leave notices off until actual mail receipt is tested.
  3. Activate the separate Pro add-on for assigned agents, notes and reports; review staff permissions before use.

Know exactly what the tools cover

  • Existing WordPress accounts are required; there is no guest portal or public ticket REST endpoint. The queue shows at most the newest 200 accessible records.
  • Tickets are text-only. Attachments, sensitive documents, inbound-email parsing, AI, automatic replies and knowledge-base articles are not included.
  • Target dates are internal targets, not an SLA promise. Manual order labels do not verify a purchase, licence, refund or subscription.
  • Optional wp_mail notices are off initially. A successful send response does not prove inbox receipt; configure/test your existing mail setup separately.

Your data, retention and access

Account IDs, text subjects/messages, status and UTC timestamps stay in private site database tables. Pro adds staff notes and workflow labels. Customer exports omit private notes and private order labels. Confirmed ticket deletion removes its active messages/notes; downloaded copies/backups follow your retention policy. Uninstall retains records. Automated retention and WordPress privacy exporter/eraser integration are not included, so maintain a documented manual process. Never submit passwords, licence secrets, payment details or sensitive documents in tickets.

These local tools do not require AI or a third-party processing account. Your website owner remains responsible for access, backups, privacy notices and appropriate retention.
